I own both of the ipads for use with my band and yes I'm the only one making the changes to the setlists, songs etc. Might there be a workaround for this scenario? thanks

You can use the Files App, view the files as a list and sort by date. For transferring from one device to the other, take a look at this How To: viewtopic.php?t=2736 Additionally, you can use AirDrop for device to device transfer.
